Loans in progress and assets already held

⏱ 4 min readUpdated on

A debt on the N-1 balance sheet is repaid during the plan; an asset is still being depreciated during it. Fiplan guesses neither: you declare the contract's schedule and the asset's remaining life.

What it is for

Two steps of the “Existing company — N-1 balance sheet” page complete the prior-year (N-1) balance sheet:

  • 3 · Loans and leases — the Loans and leases in progress block: for each contract, its Label, its Type (loan or lease), the Outstanding principal at N-1 closing, the Annual rate (%), the Last instalment, the Frequency (monthly, quarterly, yearly) and the Repayment method (annuity, constant principal, bullet). The engine rolls out the remaining schedule, principal and interest, from the month after the N-1 closing. The total of the contracts of each type must equal the heading of the N-1 balance sheet, otherwise creation is refused; a debt without a detailed contract stays frozen on the balance sheet, with no schedule or interest.
  • 4 · Assets held — the Assets already held — remaining depreciation period block: for each depreciable heading entered in the N-1 balance sheet, the Remaining life (years). The asset is depreciated on a straight-line basis from the first month of year 1; without a remaining life, it is not depreciated, and the screen says so.

Each step shows its status: To do as long as the financial debts on the balance sheet have no detailed contract, or a depreciable asset has no remaining life; Done afterwards. A company with no financial debt or depreciable asset sees “No financial debt on the balance sheet” and “No depreciable asset on the balance sheet”.

Steps

  1. In step 3 · Loans and leases, click Add a contract.
  2. Fill in the contract; repeat for each loan and each lease. Under the contracts, one line per type compares the detailed total with the heading of the N-1 balance sheet.
  3. In step 4 · Assets held, enter the Remaining life (years) of each depreciable asset.
Steps “3 · Loans and leases” and “4 · Assets held” of the creation page, filled in.

Worked example · Boulangerie Dupont SRL

The existing bakery from the previous article declares:

  • its oven loan: €10,000.00 outstanding on 31 December 2026, at 4%, last instalment in December 2029, constant monthly payments — Fiplan builds the schedule up to that date. The check line turns green: “Loans: €10,000.00 detailed = €10,000.00 on the N-1 balance sheet.”;
  • its oven, with a net book value of €18,000.00, still to be depreciated over 4 years:
Financial yearDepreciation charge (630200)
20274,500.00
20284,500.00
20294,500.00

At the end of the plan, €4,500.00 remains to be depreciated: the fourth annual charge falls after the last financial year.

Before these two entries, step 3 said “€10,000.00 of financial debts on the balance sheet · no contract detailed: the debt would stay frozen”, and step 4 was waiting for the remaining life of 1 depreciable line item.

Pitfalls

A lease in progress is declared here. For an existing company, a lease already signed is declared as a contract in progress, with the N-1 balance sheet — not in the Financing & Contributions module.
The total of the contracts must match. If the sum of the outstanding principals differs from the heading of the N-1 balance sheet, the check line turns red, states the gap, and the file cannot be created until the gap is zero.
A contract is filled in completely. The principal and a last instalment after the N-1 closing are required: “A contract is incomplete: principal and last instalment (after the N-1 closing) are required.”

What it changes · 2027

② CashThe loan's monthly payments€0.00They go out according to the declared schedule; the example does not quantify them.
③ Balance sheetThe oven's net book value at 31 December 2027€13,500.00€18,000.00 less the 2027 depreciation charge.
